Role Overview
As Chief of Staff, you'll be the strategic operator who keeps Hello Patient moving fast as we scale from seed to Series B+. You'll own the cross-functional projects that don't belong to any single team—from building our hiring machine to prepping for board meetings to designing the systems that prevent us from breaking as we grow.
This is equal parts strategist, operator, and execution engine. You'll tackle whatever is most urgent and valuable, freeing up leadership to focus on customers, product, and growth while ensuring nothing critical falls through the cracks.

What You'll Own
- Keep leadership aligned and moving fast. Run executive meetings, track OKRs, follow up on decisions, and ensure accountability across the leadership team.
- Build our hiring engine. Write compelling job descriptions, design hiring plans, create seamless onboarding experiences, and drive recruiting forward when the team is heads-down on delivery.
- Manage investor relations. Draft compelling updates, polish board presentations, and keep us organized for critical conversations with current and prospective investors.
- Design operational systems. Own our back-office stack (Ramp, Rippling, Secureframe), implement lightweight budgets and compliance processes, and build systems that scale with us.
- Drive vendor and partnership work. Lead new marketplace listings, manage key vendor relationships, and own external partnerships that drive growth.
- Execute strategic initiatives. Take on the high-impact projects that emerge—compliance workstreams, office expansion, process design, or whatever else needs to happen to keep us moving fast.
Must-Haves
- 2-5 years of experience in consulting, VC, investment banking, or high-growth startup operations
- Austin Based or willing to relocate to Austin, TX immediately to work in our HQ
- Exceptional communication skills: You can build presentations and write memos that executives act on
- Systems-thinking mindset: Comfortable using tools like ChatGPT, Linear, and Outline to automate work and drive clarity
- Strategy-to-execution range: Equally comfortable polishing a board deck and chasing down compliance documentation
- Self-directed and proactive: You see what needs to happen and make it happen without constant oversight
- Trusted with sensitive information: You'll be exposed to confidential company and investor information daily
- Scrappy and resourceful: You thrive in ambiguity, hack together solutions with limited resources, and find creative ways to get things done
- Tenaciously ambitious: You're hungry to build something meaningful and won't let obstacles slow you down
- Prior Chief of Staff or Founder experience
- Background in healthcare, AI, or enterprise SaaS
- Experience with fundraising and investor relations
- Comfort building financial models and operational dashboards
- Thrived in remote-first, early-stage environments
- Front-row seat to company building. Work directly with founders scaling a category-defining AI startup through hypergrowth.
