The Role
At Ode, recruiting is one of our most important products.
Every interaction with a candidate shapes how people perceive our company. The best recruiting operations are nearly invisible—candidates feel informed, interviewers feel prepared, recruiters stay focused on hiring, and everything simply works.
We're looking for someone who is obsessed with creating that experience.
This isn't a traditional recruiting coordinator role. You'll own the operational heartbeat of recruiting, partnering closely with recruiters, hiring managers, and leadership to deliver an exceptional candidate experience while continuously improving the systems behind it.
As we scale, you'll help evolve our recruiting coordination function into an AI-native operation—designing intelligent workflows, building automations, and creating a hiring experience that's faster, more consistent, and more thoughtful.

What You'll Do
Own the candidate experience
- Own every operational touchpoint throughout the interview process. From scheduling interviews to coordinating offers, you'll ensure every candidate feels informed, welcomed, and cared for.
- Coordinate complex interview schedules across executives, hiring managers, and candidates while balancing speed, quality, and candidate preferences.
- You'll anticipate conflicts before they happen, solve last-minute issues calmly, and ensure interviews run seamlessly.
- Own every detail of our in-person interviews—from greeting candidates and preparing interview rooms to coordinating lunches and ensuring interviewers are ready.
- You care about the moments candidates remember.
- As we grow, you'll identify bottlenecks and improve the way recruiting operates.
- You'll create documentation, standardize workflows, improve scheduling processes, and continuously refine how the team works.
- We believe AI should improve how we hire.
- You'll experiment with AI tools and automation to eliminate repetitive work, streamline coordination, improve communication, and create better experiences for candidates and recruiters alike.

- Candidates consistently tell us they've had one of the best interview experiences of their careers.
- Scheduling becomes faster, smoother, and more scalable.
- Recruiters spend more time recruiting and less time coordinating logistics.
- Interviewers always know where they need to be and what to expect.
- Recruiting workflows become increasingly automated.
- The recruiting coordination function scales alongside the company without sacrificing quality.
- 3–5 years of experience in recruiting coordination, recruiting operations, executive operations.
- Exceptional organizational skills with outstanding attention to detail.
- Strong written and verbal communication.
- Excellent judgment and the ability to prioritize in a fast-moving environment.
- Experience coordinating multiple stakeholders and managing complex calendars.
- A systems mindset—you naturally improve processes rather than simply following them.
- Curiosity about AI and excitement to use it to redesign how recruiting works.
- Experience with an ATS such as Ashby, Greenhouse, Lever, or similar is a plus.
- Overdeliver: We are writing the playbook on how to create enterprise value with LLMs, and building our reputation as the world’s best applied AI team.
- Overuse AI: We obsessively explore and experiment with Claude to push the frontier of applied AI and share what we learn with our teammates.
- Over”engineer” the Culture: We’re building a culture that attracts and retains top applied AI talent, and we stress test large decisions through the perspective of our world class builders.
