JOB SUMMARY

The Administrative Operations Specialist is the welcoming face of our showroom and a key player in keeping daily operations running smoothly. As the primary point of contact for guests and a central hub for multi-department support, this role manages front-desk responsibilities, coordinates essential administrative processes, and ensures accurate data management. With a balance of professionalism, approachability, and organizational expertise, the Administrative Operations Specialist helps create a positive experience for visitors while keeping our team supported and productive.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Serve as the first point of contact for visitors, delivering a professional and welcoming experience.
  • Manage front-desk operations, including answering calls, routing messages, and maintaining coverage when away from reception area.
  • Process invoices and track transactions in Excel.
  • Stage and deliver material lines in RFMS after pick ticket dispatch.
  • Coordinate incoming and outgoing mail, packages, and faxes.
  • Support administrative tasks such as photocopying, scanning, filing, calendar management and scheduling.
  • Maintain office supply inventory and place monthly orders.
  • Keep shared spaces, including the showroom and break areas, clean and organized.
  • Represent the company with integrity and professionalism in all interactions.

SUPERVISORY RESPONSIBILITIES This position carries out supervisory responsibilities in accordance with company guidelines, policies and procedures, and applicable laws. Supervisory responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

  • High school diploma or equivalent.
  • Strong organizational skills and attention to detail.
  • Ability to manage time effectively and handle multiple priorities.
  • Excellent relationship-building skills with internal and external stakeholders.
  • Professional appearance and demeanor.
  • Strong customer service orientation.
  • Proficiency in Microsoft Office Suite, with emphasis on Excel and Word.
  • Basic math, reading, and writing skills.
