This full-time, onsite position plays a pivotal role in managing administrative workflows, maintaining communication channels, coordinating internal processes, and supporting project-specific tasks. Key Responsibilities

  • Provide daily administrative and executive support to leadership and project management teams.
  • Maintain schedules, calendars, and task tracking for executives and department leads.
  • Manage phone communications, emails, and external inquiries with professionalism.
  • Prepare and organize project documentation, contracts, reports, and filing systems.
  • Assist with billing, invoicing, and light bookkeeping tasks.
  • Support office operations including supplies, vendors, and team needs.
  • Coordinate internal meetings, agendas, and note-taking.
  • Assist with onboarding and record-keeping for team members.
  • Handle confidential information with discretion.
  • Collaborate with project teams on documentation, status tracking, and deliverables.

Qualifications

  • Minimum 5 years of administrative or office management experience.
  • High school diploma or GED required; Associate's or Bachelor's in Construction Management or related field preferred.
  • Strong proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Highly organized with strong attention to detail.
  • Ability to prioritize multiple tasks and meet tight deadlines.
  • Comfortable learning new software and digital systems quickly.
  • Professional demeanor and experience with executive support.
  • Experience in the construction industry is a strong plus.
