Responsibilities Of The Executive Assistant

Your responsibilities include:

  • Task & Project Coordination
    • Accountability & Progress Tracking
      • Act as the CEO’s accountability partner, ensuring ideas, initiatives, and commitments are documented, tracked, and completed
      • Proactively follow up on action items to maintain momentum and meet deadlines
    • Systems & Workflow Development
      • Create and maintain task tracking systems and project boards to provide visibility on priorities
      • Assist in developing structured workflows (“journeys”) for live event production to ensure smooth handoffs and seamless execution across all stages
    • Talent Buying Support
      • Partner with the talent buying team to gather key data—such as historical ticket sales and gross revenues from platforms like Prism—to prepare competitive artist offers
      • Anticipate information needs to keep the team ahead in negotiations and planning
  • Calendar Management
    • Scheduling Meetings
      • Manage a dynamic calendar across multiple time zones, balancing business, travel, and personal activities
      • Schedule and confirm meetings, ensuring adequate preparation time and no scheduling conflicts
    • Strategic Time Allocation
      • Protect time for strategic thinking, focused work, and essential breaks
      • Incorporate personal activities such as training sessions or wellness appointments to maintain work-life balance
  • Email & Communication Management
    • Inbox Oversight & Organization
      • Oversee and streamline the CEO’s inbox with the goal of achieving and maintaining “Inbox Zero” daily
      • Create and manage folder systems or priority filters for quick access to critical communications
    • Message & Relationship Management
      • Monitor and manage incoming communications via email, iMessage, and phone, ensuring timely responses and follow-ups
      • Maintain and nurture relationships by keeping track of ongoing conversations and commitments
    • Information Filtering
      • Monitor additional communication channels (e.g., Slack, where applicable) and filter out noise, delivering only the most relevant updates to the CEO
  • Meeting Support
    • Capture key points, decisions, and action items during meetings, using AI note-taking tools where appropriate
    • Summarize discussions into concise action items, distribute updates to the right people, and track completion of assigned tasks
    • Apply discretion when sharing information, ensuring alignment with the CEO’s strategic priorities
  • Travel, Reservations & Personal Administration
    • Travel Management
      • Coordinate complex travel itineraries for business and personal trips, including flights, hotels, ground transportation, and activity suggestions
      • Adapt and improve upon the CEO’s current travel systems for efficiency and personalization
    • Personal Administration
      • Support personal tasks such as home management, meal planning, sourcing household services, sending gifts, and scheduling personal appointments
      • Ensure personal commitments integrate smoothly with professional obligations
