Brownstein seeks a highly experienced Executive Assistant for a dynamic shareholder in our Natural Resources practice group, focusing on business transactions, occasional litigation and interface with lawyers and consultants. This role requires the ability to commute regularly to our Santa Barbara office.


Essential Duties and Responsibilities:

  • Effectively prioritize commitments and manage a heavy and fluid calendar, including coordination with administrative colleagues to schedule meetings, calls, events, and other activities.
  • Deliver seamless engagement experiences by managing meeting logistics, including preparation, distribution, and/or printing of materials, maintaining calendar invites and RSVPs, greeting guests, and preparing technology (video conferencing, collaboration tools, etc.) in advance.
  • Draft, edit, and/or proofread business and legal correspondence in compliance with firm standards and utilizing existing templates.
  • Coordinate upcoming deadlines with administrative colleagues to ensure timely filing of legal documents.
  • Plan for and execute executive travel arrangements, including international and domestic itineraries, bookings, as well as preparing briefing materials.
  • Handle client interaction and provide telephone assistance.
  • Prepare shareholder for myriad internal and external meetings by gathering, compiling, and reviewing briefing and logistical materials.
  • Operate as an extension or delegate of the shareholder by assisting with requests and inquiries to firm leadership.
  • Manage contacts with discretion, including tracking and maintaining updated records, as well as fostering relationships with internal and external clients.
  • Provide general administrative support as required.


Required and Preferred Qualifications:

  • We require at least 7 years of experience as an Executive Assistant preferably within a law firm or other professional services environment, supporting high level executives.
  • Excellent organizational and time management skills, ensuring both routine and urgent tasks are completed successfully, and in a thorough and timely manner.
  • Experience with social media, twitter, Instagram and its commercial applications
  • Experience applying significant discretion to sensitive or confidential information.
  • Strong interpersonal, verbal, and written communication skills, including the ability to maintain open communication with shareholder via multiple channels (email, text, etc.).
  • Ability to exercise strong judgment and decision-making skills under pressure; a proven track record of independent problem-solving with a highly professional demeanor.
  • Demonstrated proficiency in Microsoft Office applications (Outlook, Word, PowerPoint) and willingness to learn new software applications. Knowledge of iManage is a plus.
  • Detail-oriented, able to routinely adjust to shifting priorities in a vigorous legal environment; self-motivated with the ability to work well independently.


Compensation and Benefits: Brownstein Hyatt Farber Schreck offers a benefits package that includes medical, dental, vision, 401k + match, profit sharing, and vacation/sick/personal time off. In addition, this role pays overtime for hours worked above 40 per week. This position is eligible for a hybrid in-office/remote work model, in accordance with current firm policies. For this role, we will offer a salary range from $90,000 to $100,000.
