Key Responsibilities
- Coordinate a fast-paced schedule, including trials, depositions, mediations, conference calls, and international travel arrangements.
- Draft and send emails and reports on behalf of the Managing Partner, maintain legal formatting, and manage timely distribution of reports to clients and internal staff.
- Prepare solicitation letters and manage direct mail, FedEx deliveries, and service of pleadings using firm records.
- Handle all travel logistics, including domestic and international flights, hotels, and car rentals.
- Manage personal tasks for the Managing Partner, such as handling memberships, client gifts, family appointments, and event planning.
- Research and maintain client contact information, conduct internet research, and manage firm-wide e-communications and mass emails to 7,000 recipients.
- Support the Managing Partner’s role as a continuing education provider, including researching state-specific requirements, submitting applications, and maintaining provider and course renewals.
- Organize continuing education seminars, track attendance, and ship materials for out-of-state seminars.
- Other duties as assigned
Qualifications:
- Previous experience as an Executive Assistant in a legal setting, with strong knowledge of legal formatting and correspondence.
- Proficiency in Microsoft Word, Outlook, PowerPoint and Excel
- Exceptional organizational skills with the ability to manage multiple tasks in a fast-paced environment.
- Strong communication skills, both written and verbal, with attention to detail and professionalism.
- Ability to handle sensitive information with discretion.
- Familiarity with mail merges, client mailings, and managing large-scale e-communications.
