About the Job

Position Summary:

We are seeking a highly organized and proactive Scheduling Coordinator to support the nursing department with administrative, scheduling, and personnel coordination functions. This individual will play a key role in ensuring proper staffing coverage, maintaining compliance with facility policy, and supporting staff onboarding and retention efforts.

Key Responsibilities:

Scheduling & Administrative Support

  • Create, update, and post monthly nursing schedules, ensuring all requests are approved and staffing needs are met.
  • Maintain current employee contact lists and update master schedules for new hires, terminations, and status changes.
  • Monitor and record daily attendance, tardiness, and absenteeism; escalate concerns to DNS per policy.
  • Respond to staffing inquiries and employee questions regarding scheduling, benefit time, and forms.
  • Coordinate modified duty scheduling with HR and DNS in accordance with work restrictions.
  • Assist with the completion of timecards, vacation requests, and holiday adjustments.
  • Collaborate with nursing supervisors to address scheduling challenges and ensure coverage.
  • Prepare written communications and assist with daily staffing postings.


Personnel Support

  • Assist with CNA interviews and follow-up with candidates to complete necessary pre-orientation paperwork.
  • Confirm licensure and certification status for all new hires before start date.
  • Ensure new staff have timecards and schedules in place prior to orientation.
  • Support recordkeeping for attendance and tardiness, used for performance reviews.
  • Maintain accurate records of staff certifications and licenses.


Staff Development & Orientation

  • Assign preceptors and communicate orientation schedules to nursing managers and unit staff.
  • Assist with organizing and tracking in-service training, orientations, and staff development sessions.
  • Attend staff development training sessions and support education program documentation.


Committee & Reporting Duties

  • Participate in recruitment and retention meetings.
  • Compile and submit labor and staffing reports for DNS and committee review.
  • Implement recommendations from DNS and committee meetings as instructed.


Other Responsibilities

  • Build positive relationships with interdepartmental teams to support operational efficiency.
  • Provide input to improve scheduling processes and address grievances related to staffing.
  • Perform miscellaneous administrative and staffing duties as needed.


Qualifications:

  • High school diploma or equivalent (Associate degree or healthcare experience preferred)
  • 2+ years of experience in healthcare scheduling or administrative coordination
  • Strong organizational skills with attention to detail and follow-through
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Proficiency in Microsoft Office Suite
  • Previous experience in scheduling/timekeeping systems a plus
  • Strong interpersonal and communication skills
  • Ability to work collaboratively and independently in a fast-paced environment
