Are you a highly organized professional who enjoys managing projects, solving problems, and building relationships? We're seeking a Program Administrator to play a key role in supporting one of New Jersey's leading energy efficiency programs.

The Program Administrator serves as the primary liaison between customers, contractors, program management, internal project teams, and the client. Acting as a Subject Matter Expert (SME), this individual oversees program operations, manages project pipelines, tracks performance metrics, ensures program compliance, and supports continuous improvement initiatives.

The ideal candidate is highly organized, analytical, customer-focused, and comfortable managing multiple priorities in a fast-paced environment. This role requires strong communication skills, attention to detail, and the ability to collaborate effectively with a variety of stakeholders.

Key ResponsibilitiesProgram Management & Reporting
  • Monitor and manage program pipelines to ensure monthly, quarterly, and annual goals are achieved.
  • Analyze program performance and develop reports on production, participation, and project status.
  • Develop and maintain program management tools to monitor project progress and identify potential issues proactively.
  • Review and analyze pipeline data to support decision-making and resource allocation.
Client & Stakeholder Management
  • Serve as the primary point of contact for client communications and program-related inquiries.
  • Maintain regular communication with clients and stakeholders to ensure satisfaction and alignment with program objectives.
  • Coordinate with internal teams, contractors, and external partners to support program success.
  • Track, investigate, and resolve customer and Trade Ally escalations.
Quality Assurance & Compliance
  • Review projects to verify compliance with program requirements.
  • Conduct quality assurance reviews and ensure project documentation is complete and accurate.
  • Maintain a thorough understanding of program processing requirements and savings methodologies.
  • Ensure all program materials, manuals, guidelines, FAQs, and supporting documentation remain current and accurate.
  • Manage document review and approval processes with the client.
Continuous Improvement & Training
  • Identify opportunities to improve program efficiency, processes, and customer experience.
  • Collaborate across teams to implement best practices and support operational excellence.
  • Participate in the development of new program concepts, tools, and standards.
  • Provide and participate in internal and external training sessions.
  • Present program information to various audiences for recruitment, training, and participation purposes.
Outreach & Industry Engagement
  • Attend outreach events, conferences, site visits, and industry meetings as needed.
  • Support recruitment and engagement efforts with customers, contractors, and community stakeholders.
  • Maintain knowledge of energy efficiency programs, regulatory requirements, and industry trends.
Additional Responsibilities
  • Understand and support all aspects of New Jersey energy efficiency programs, including participation guidelines, approved measures, incentive structures, and outreach initiatives.
  • Apply energy efficiency principles and mathematical methodologies as required.
  • Serve as a trusted advisor to management on program-related matters and strategic initiatives.
Minimum Qualifications
  • Must be a resident of New Jersey.
  • Ability to travel throughout New Jersey for meetings, site visits, outreach events, and program activities.
  • Strong proficiency with Microsoft Office applications and Customer Relationship Management (CRM) systems.
  • Strong analytical, critical thinking, and problem-solving abilities.
  • Excellent organizational and time-management skills.
  • Ability to work effectively with diverse customers, contractors, and stakeholders.
  • Team-oriented, adaptable, and customer-focused.
  • Valid driver's license and clean driving record.
  • Reliable transportation required.
Preferred Qualifications
  • Experience in the energy efficiency, utility, or sustainability industry.
  • LEED, CEM, or other relevant energy certifications.
  • Knowledge of utility energy efficiency programs and program administration.
Education & Experience
  • Bachelor's degree in Business, Engineering, Environmental Studies, Energy Management, Public Administration, or a related field; equivalent experience may be considered.
  • Up to 5 years of professional experience in program administration, project coordination, utility programs, energy efficiency, customer operations, or a related field.
  • Demonstrated ability to manage multiple projects, stakeholders, and priorities simultaneously.

Pay Range: $38.00 - $43.00 per hour (Depending on experience and qualifications)
