Project Manager / Executive Assistant

Location: Phoenix, AZ Hub (4 days on-site, 1 day remote)

Position Summary

We are seeking a highly organized, proactive, and resourceful Executive Assistant and Project Manager to provide comprehensive support to senior leadership while driving key initiatives and projects across the organization. This role goes beyond traditional executive assistant responsibilities, serving as a strategic partner, project manager, and trusted advisor to ensure smooth operations, alignment of priorities, and successful delivery of business goals. The successful candidate will balance tactical execution with strategic oversight, thrive on creating order out of complexity, and enable leaders to focus on high-value priorities.

Key Responsibilities

Executive Support

  • Manage complex calendars, scheduling, and travel for senior executives, ensuring alignment with organizational priorities
  • Prepare executive-level presentations, reports, and briefing materials for internal and external stakeholders
  • Anticipate leadership needs and proactively identify opportunities to create efficiency and remove roadblocks
  • Serve as liaison between executives, senior leaders, and external partners with professionalism and discretion
  • Handle confidential and sensitive information with the highest level of integrity

Project Management

  • Lead and coordinate cross-functional projects from initiation through execution, ensuring deliverables are completed on time and within scope
  • Facilitate meetings, set agendas, capture action items, and drive accountability across teams
  • Support change management and communications planning to ensure successful adoption of projects and initiatives
  • Partner with executives to align priorities and translate strategic goals into actionable work
  • Drive operational efficiency by improving processes, tools, and systems to better support the executive office

Qualifications

  • Bachelor's degree in business, communications, or related field (or equivalent experience)
  • 5+ years of experience as an Executive Assistant, Project Manager, or Chief of Staff-type role supporting senior leaders
  • Strong project management skills with ability to handle multiple initiatives simultaneously
  • Exceptional communication, writing, and presentation skills
  • High emotional intelligence, discretion, and ability to build trust with stakeholders at all levels
  • Strong problem-solving skills and ability to work independently in a fast-paced, dynamic environment

Pay Transparency

The salary range for this position is $ 89,074 - $ 133,611 per year plus an opportunity to earn an annual discretionary bonus. Actual pay is based on various factors including but not limited to the work location, and relevant skills and experience.
