Administrative Specialist - Construction Management

We have an immediate opening for a qualified Administrative Specialist to serve as a Construction Management Coordinator out of our Lynchburg, Virginia Office. Applicants should possess a minimum of 10 years of fleet and operational management and coordination experience in the engineering, architectural or construction industries. The candidate will have a strong management, administration and coordination background with self-initiative and will be responsible for providing coordination and management support as part of a Construction Management and Inspection Team supporting multiple locations.
Responsibilities:
- Managing, organizing, and maintaining WRA’s fleet of leased and owned construction management and engineering support vehicles, including leasing, tracking, maintaining and deploying vehicles
- Assisting in the management and tracking of Construction Management and Inspection Staff materials certifications, professional certifications and licenses, including tracking expiration dates and overseeing registration for certification classes
- Assisting in overseeing and acquiring tools, equipment, and other items needed to support the Construction Management and Inspection Staff
- Prepare and present reports to WRA Management relative to the inventory and performance of construction management vehicles, tools, and equipment.
- Review of invoices for WRA services performed, including quality assurance checks on prepared invoices
- Creating and editing Excel spreadsheets. Data entry, updating project databases and spreadsheets.
- Supporting miscellaneous Contract Administrative and Office Management activities.
Requirements:
- High school degree or state equivalency certificate required. Associate or Bachelor degree preferred.
- Minimum 10 years of management and coordination experience of fleet inventories and/or construction assets.
- Intermediate knowledge of Microsoft Word and Microsoft Excel.
- Proficient with Microsoft Power Point and Microsoft Outlook.
- Exceptional organizational skills (including electronic document management).
- Proven ability to maintain confidentiality, including a high degree of discretion when dealing with confidential information.
- Highly motivated and detail oriented.
- Self-starter with desire to undertake new initiatives.
- Excellent written and oral communication skills.
- Proven ability to meet deadlines, multi-task, and to adapt to frequent changes and work well under pressure.
- Proven ability to follow up on assignments to ensure they are successfully completed. Ability to work both independently and within a team.
- Ability and willingness to work cooperatively with and in support of others.
- Ability to maintain appropriate interpersonal relationships with employees, peers, and others.
- Prior experience working in an Engineering, Architectural or Construction industry preferred.
