Job Title: Office Coordinator

Objective

As an independently owned and operated Home Instead franchise, S-6 Senior Services, LLC is seeking an Office Coordinator to join our amazing team. This role is pivotal in ensuring the smooth operation of our office, maintaining high-quality service to clients, and supporting various departments. Primary Responsibilities

  • Answer incoming calls in a positive, professional, and knowledgeable manner.
  • Greet and welcome all visitors in a friendly, warm, and professional manner.
  • Utilize Salesforce to enter service inquiries and direct them to appropriate key players.
  • Create, maintain, and review client and Care Pro schedules, emphasizing high-quality matches.
  • Assist in managing canceled shifts and Care Pro availability, and communicate changes to the client.
  • Ensure accurate billing and payroll rates are selected for scheduled shifts.
  • Monitor authorized hours for state and VA clients, making sure they do not exceed their limit.
  • First-shift follow-up and ongoing touch points with client and care Pros.
  • Communicate with the relevant admin staff regarding attendance policy concerns per Care Pro.
  • Coordinate and provide introductions between clients and caregivers to facilitate strong working relationships.
  • Fill in for Care Pros during regular business hours, ensuring client care is maintained without disruption.
  • Demonstrate open and effective communication with the owner, colleagues, clients, and Care Pros.
  • Maintain regular office attendance to fulfill job responsibilities.
  • Adhere to all company policies, procedures, and business ethics codes.

Secondary Responsibilities

  • Assist with orientations as needed.
  • Share client and Care Pro concerns with management and relevant staff members.
  • Participate in Care Pro meetings.
  • Order and stock office and copy machine supplies.
  • Actively engage in community outreach efforts to promote our services, and participate in local events.
  • Perform all other functions deemed necessary to support office operations.

Education/Experience Requirements

  • High school graduation or equivalent.
  • One year of related business experience or equivalent education/work experience.
  • Must possess a valid driver’s license.

Knowledge, Skills, And Abilities

  • Positive attitude with a customer service mindset in performing duties within a professional office setting.
  • Experience in administrative roles or related positions with a willingness to learn and grow.
  • Detail-oriented and can efficiently manage office tasks, schedules, and records.
  • Effective written and verbal communication skills, as the Office Coordinator will interact with colleagues, clients, and caregivers regularly.
  • Proficiency with office software and tools, including Microsoft Office and Salesforce, is a plus.
  • Problem solver with the ability to identify and resolve issues, as well as adapt to changing situations, and priorities.
  • A team player who can collaborate with colleagues, including caregivers and management, to ensure smooth operations.
  • Patience and professionalism in telephone interactions.
  • Dependability is critical for maintaining office operations and schedules.
