About the Job
The Medical Records Support Specialist is responsible for organizing, maintaining and managing both physical and digital documents within the organization. Seeking a detail-oriented and organized individual to assist with digitization of our records. This temporary position involves scanning physical documents into digital formats, ensuring accuracy and completeness in data entry. This is a seasonal role. This is a temporary position with an expected duration of 3-5 months.

Job Purpose
- To provide efficient and accurate support for the management and maintenance of medical records at PCC Community Wellness Center. This includes processing requests for medical records, ensuring compliance with HIPAA and other relevant regulations, and maintaining the integrity and confidentiality of patient information.
- Process requests for medical records from patients, healthcare providers, legal entities, and other authorized parties, ensuring timely and accurate fulfillment.
- Maintain accurate and organized medical records, both electronic and physical, according to established procedures and regulatory requirements.
- Release medical records in accordance with HIPAA regulations, ensuring appropriate authorizations and safeguards are in place.
- Respond to inquiries regarding medical records requests and status, providing excellent customer service.
- Prepare and scan medical records into the electronic health record system, ensuring proper indexing and quality control.
- Assist with the maintenance and upkeep of the medical records system, including filing, retrieval, and storage of records.
- Identify and report any discrepancies or issues related to medical records to the appropriate personnel.
- Participate in audits and quality assurance activities related to medical records management.
- Maintain strict confidentiality of patient information and adhere to all HIPAA and other relevant privacy regulations.
- Perform other duties as assigned, related to the management and maintenance of medical records.
- High School Diploma or GED equivalent.
- Minimum of one year experience working in a medical office setting.
- Experience with electronic health records (EHR) systems.
- Experience with medical terminology and coding.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality and adhere to HIPAA regulations.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Ability to multitask and prioritize tasks effectively.
- Detail-oriented with a high degree of accuracy.
- Ability to learn new software and systems quickly.
