Executive Assistant

About the Job
We are seeking a highly skilled and experienced Executive Assistant (EA) to support our CEOs across multiple business entities. This position is ideal for someone who thrives in a fast-paced, dynamic environment and enjoys being a strategic partner at the executive level. As the right hand to our CEOs, you will play a vital role in enhancing productivity by managing time, communications, priorities, and projects with discretion, efficiency, and professionalism.
Key Responsibilities
- Strategically manage and optimize the CEO’s calendar by organizing, prioritizing, and protecting time for the highest-value activities across multiple companies.
- Ensure the CEO’s are fully prepared for meetings with timely agendas, briefing materials, and follow-up support.
- Filter requests and communications to reduce distractions and maintain focus on strategic priorities.
- Schedule and facilitate executive and leadership team meetings with clear objectives, agendas, and time-efficient structure.
- Take and distribute high-quality meeting notes for internal leadership meetings, capturing key decisions and follow-up actions.
- Draft formal minutes for board meetings and ensure proper documentation and recordkeeping in coordination with legal or governance stakeholders.
- Manage internal and external communications with professionalism, clarity, and discretion.
- Draft emails, memos, reports, and presentations on behalf of the CEO’s as needed.
- Track leadership team initiatives, department milestones, and strategic objectives (OKRs/KPIs) across multiple organizations.
- Serve as a connector across departments and company lines to align cross-functional efforts and flag delays or misalignment.
- Support planning and execution of company-wide initiatives, leadership meetings, and leadership quarterly reviews.
- Facilitate the execution of standard business documents, such as NDAs, using preapproved templates and digital signature platforms (e.g., DocuSign).
- Maintain accurate records of executed agreements and assist in tracking key document workflows across business entities.
- Coordinate travel logistics, and manage sensitive information with confidentiality.
- Support board communications and materials, including agenda preparation and document distribution.
- Serve as a gatekeeper and strategic partner in managing the CEO’s workload and relationships across company lines.
Required Qualifications
- 5+ years in an executive support role, preferably supporting a CEO or C-level executive.
- Experience managing complex calendars, communications, and meeting logistics across multiple teams or business units.
- Strong written communication skills, including professional email and meeting minute drafting.
- High level of discretion, integrity, and professionalism.
- Strong organizational and project management skills.
- Proficiency with productivity tools (Google Workspace or Microsoft Office, project/task management platforms, eSignature tools, Zoom/Slack, etc.).
Preferred Qualifications
- Experience supporting a CEO who oversees multiple companies or brands.
- Familiarity with goal-tracking systems (OKRs, EOS, KPIs).
- Prior experience preparing board minutes or supporting board governance processes.
- Exposure to corporate legal, compliance, or multi-entity operations.
