Job Summary

Junior Accountant (AP Focus, QuickBooks Required) - Onsite

The Junior Accountant is responsible for the accurate and timely processing of vendor invoices, employee reimbursements, reconciliations, and other payables in accordance with company policies and procedures. The ideal candidate will have strong AP experience and a good background in QuickBooks. This role supports the broader finance function by maintaining strong internal controls, ensuring compliance with financial and operational processes, and fostering positive relationships with both internal stakeholders and external vendors.

Key Responsibilities

Invoice Processing & Validation

  • Review, verify, and enter high-volume invoices into the ERP system, ensuring all documentation and approvals are obtained.
  • Match purchase orders, receiving documentation, and vendor invoices to validate charges.
  • Ensure invoice accuracy, proper GL coding, cost center alignment, and classification under accounting standards.

Vendor & Payment Management

  • Monitor the AP inbox and respond promptly to vendor inquiries, resolving discrepancies and payment timing issues.
  • Prepare payment runs (check, ACH, wire) in accordance with scheduled disbursement cycles.
  • Process employee expense reports and ensure compliance with travel and expense policies.
  • Maintain accurate vendor records, including W-9s and payment terms.
  • Support 1099 year-end reporting and ensure compliance with IRS guidelines.

Month-End & Year-End Close

  • Assist with AP accruals and reconciliation of AP subledger to the general ledger.
  • Support month-end and year-end close activities, including preparing accurate AP accruals and journal entries.
  • Assist with audits by providing supporting documentation and responding to auditor requests.

Documentation & Reporting

  • Maintain complete and accurate AP records for internal and external audits.
  • Support preparation of AP-related reports, aging analyses, and reconciliations.
  • Assist with monthly closing activities, including reconciliation of bank accounts and credit card accounts.

Process Improvement & Controls

  • Assist in refining AP procedures and internal controls to improve efficiency and compliance.
  • Help implement automation and digitization initiatives relevant to accounts payable processing and financial reporting.

Administrative Support

  • Perform administrative duties such as mailing, shipping, office supply ordering, filing, and scanning.
  • Assist with inter-company billing and reconciliation.
  • Perform all other duties as assigned.

Education & Experience

  • Associate degree required; Bachelor’s degree in Accounting, Finance, or related field preferred.
  • 1–3 years of experience in Accounts Payable or general accounting, preferably in a manufacturing or motorsports environment.
  • Solid understanding of basic accounting principles, U.S. GAAP, IFRS, FASB, and internal controls.
  • Experience with ERP systems (QuickBooks required; IFS, SAP, Oracle, NetSuite, or similar preferred).
  • Record payments and banking transactions in QuickBooks and generate related reports.
  • Proficient with Microsoft Office Suite, especially Excel.
  • Preferred experience with Fishbowl Inventory or other inventory management programs.
  • Exposure to foreign currency transactions, intercompany transactions, and consolidation principles is a plus.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Prolonged periods of standing or walking.
  • Must be able to lift up to 25 pounds at times.
  • Occasional movement required to access file cabinets, office machinery, or irregular spaces (such as in or under a vehicle).
