Position Summary

The Executive Assistant (EA) to the CEO provides high-level administrative support to the Chief Executive Officer and serves as a key liaison between the CEO, internal leadership, clients, and external partners. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. In addition to executive support, the EA will oversee the management of the corporate airplane and all office administrative operations, ensuring efficiency, professionalism, and confidentiality at all times.

Job Duties And Responsibilities

  • Executive Support
    • Manage and maintain the CEO’s complex calendar, including scheduling meetings, appointments, and travel.
    • Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO.
    • Serve as the first point of contact for internal and external stakeholders seeking access to the CEO.
    • Attend meetings as requested and follow up on action items.
    • Handle confidential information with the utmost discretion and professionalism.
Corporate Airplane Management

  • Coordinate all corporate airplane usage including flight scheduling, passenger manifests, and travel itineraries.
  • Liaise with pilots, flight crews, FBOs (Fixed-Base Operators), and aviation service providers to ensure smooth operations.
  • Monitor and review monthly invoice for accuracy and submit to accounting for payment.
  • Serve as the point of contact for all private aviation logistics, ensuring a high standard of safety, punctuality, and service.

Office Administration Management

  • Oversee daily office operations to ensure a professional and efficient work environment.
  • Manage relationships with office vendors, service providers, and landlord.
  • Oversee office supplies, equipment, and facilities maintenance.
  • Supervise administrative staff and ensure proper coverage and support throughout the office.
  • Organize corporate events, board meetings, and company-wide communications as needed.
  • Maintain and improve office policies and procedures to enhance operational efficiency.

  • Proficient in Microsoft Office Suite, calendar management tools, and expense reporting systems.
