This pivotal position will keep our executive office running smoothly, with responsibilities spanning administrative support, calendar management, project coordination, QuickBooks bookkeeping, and more. Key Responsibilities
- Manage the CEO's calendar, travel arrangements, and scheduling
- Prioritize and respond to incoming emails, calls, and communications
- Prepare materials for meetings, reports, and presentations
- Act as the point of contact between the CEO and staff, clients, vendors
- Track deadlines, follow up on tasks, and manage key initiatives
- Handle confidential matters and maintain executive-level discretion
- Organize company events and industry engagements
- Generate and manage purchase orders and subcontractor agreements
- Review, prepare, and process checks; maintain financial records
- Support bookkeeping and accounting functions using QuickBooks
- Assist with personal tasks to improve CEO productivity
- 3+ years of executive-level administrative experience, preferably in construction or real estate
- Strong experience with QuickBooks (including check processing)
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Highly organized and detail-oriented; strong multitasking skills
- Excellent written and verbal communication
- Professional discretion and sound judgment
- Positive, resourceful, and solutions-oriented mindset
- Bachelor's degree preferred but not required
