Position Summary

The Payroll Coordinator plays a crucial role in managing the payroll function within the association, ensuring that employees are compensated accurately and on time, while also maintaining compliance with regulatory requirements. This position plays an important role on the YMCA Leadership Team and will work in collaboration with leaders throughout the association.

200 Y Blvd.

Rockford, IL 61107

The primary location for this position is the SwedishAmerican Riverfront YMCA, however, this is a position that is a resource to the entire association. Candidates should expect to work at various locations throughout the week.

WORK LOCATION

Regardless of primary assignment, this position may be required to travel between sites as needed.

  • You'll support the commitment of the YMCA to child abuse prevention by:
  • Report any items that may provide a health or safety hazard to staff, members or guests to your supervisor.
  • Follow all policies and procedures related to keeping children safe in our facilities and programs, including those related to the monitoring and supervision of children.
  • Report any suspicious behavior and violation of policy and procedures to your supervisor.
  • Complete all child abuse prevention training as required.

Essential Functions

Payroll Processing:

  • Calculate and process payroll for employees, including regular wages, overtime, bonuses, and deductions.
  • Ensure accurate recording of hours worked and leave taken.
  • Prepare and distribute paychecks or direct deposits.

Compliance

  • Ensure compliance with federal, state, and local payroll laws and regulations.
  • Stay up to date on changes in tax laws and payroll regulations.
  • Uses discretion and independent judgment in handling confidential and sensitive information.

Data Management

  • Maintain employee payroll records and files.
  • Input and update employee data related to payroll, such as new hires, terminations, and changes in pay rates.
  • Collaborate within department to ensure successful processing of all HR and Payroll Forms.
  • Administer all employment verifications and reference requests.

Reporting

  • Generate and distribute payroll reports, including summaries of payroll costs and tax liabilities.
  • Prepare year-end reports like W-2 and 1099 forms.
  • Completes requests and reporting for Y-USA.

Audit And Reconciliation

  • Conduct regular audits of payroll data to identify discrepancies.
  • Reconcile payroll with accounting records to ensure accuracy.

General Responsibilities

  • Respond to employee inquiries and requests within 48 hours, ideally 24 hours.
  • Act as the primary contact, knowledge source, and reporting within the HRIS.
  • Maintains strong attention to detail as is critical to ensuring accuracy in payroll processing.
  • Manages multiple tasks, priorities, and meets deadlines.
  • Attends leadership meetings and required department meetings.
  • Leads benefit and enrollment sessions.
  • Analyze systems and processes to innovate current and future processes and programs.
  • Models and coaches YMCA Core Values and Service Standards.
  • Reports damaged equipment or safety hazards promptly.
  • Ensures a strong focus on character development and diversity, equity and inclusion throughout relationships and interactions.
  • Other duties as assigned or needed.

Qualifications

  • High school diploma required.
  • Three or more years of experience with payroll systems or related software systems.
  • Excellent verbal and written communication.
  • Bilingual candidates are encouraged to apply.
  • Knowledge in all areas of payroll processing.
  • Maintains knowledge of current applicable state and federal laws.
  • Proficient in all standard business software with little to no supervision.
  • Knowledgeable about office processes and procedures.
  • Ability to work with integrity, discretion and a professional approach.
  • CPR and First Aid certification required within 90 days.
  • Praesidium Academy training.
  • Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
  • Proven track record of developing authentic relationships with others.

Schedule & Compensation

1 Position

Full-Time, Non-Exempt

40 hours per week, Monday - Friday, varies as needed

$23.00 per hour
