Trilogy at Vistancia is comprised of three feature club experiences, the golf club, the original community centerpiece, Kiva Club, and the recently introduced Mita Club. The golf course, the feature restaurant, V's Taproom, the full-service Alvea Spa, and the events & weddings venue are all available to the public.
Where: Peoria, 40 minutes west of Scottsdale & Northwest of downtown Phoenix, Arizona
Pay: $18.00 - $20.00 per hour
Benefits
New hourly full-time team members working 30 hours or more per week, will be eligible for the Company medical, dental and life insurance plans the first of the month following 60 days of full-time employment.
Full-Time team members are eligible to accrue Paid Time Off (“PTO”) in accordance with the Company policy at a rate of 120 hours per year.
Full-Time team members are eligible for 7 paid holidays annually.
Part-Time team members are eligible to accrue Paid Sick Leave in accordance with state guidelines.
All team members 21 years and older are eligible to participate in the J.F. Shea Co., Inc. 401(k) plan after completion of 30 days of service.
Position Overview
The Trilogy Lifestyle Coordinator assists the club in achieving the most critical goal; bringing the community to life through events, programming and communications and more. To do this, the coordinator supports the Lifestyle Director in working directly with all the departments of the Club, developing activities and events to support a healthy, happy, fulfilled lifestyle. Primary responsibility is the accuracy and timeliness of information and events posted in the communication portal for the Members.
The Lifestyle Coordinator must be able to deploy a wide variety of skills, including personality, copywriting, web content managements, email/text/alert deployment, team player, and more. This position may require working some nights and weekends.
This position reports to the Lifestyle Director, and Supervisor.
Key Responsibilities
This position generally operates in a professional indoor office environment, but may have some exposure to outdoor weather conditions, and occasionally native wildlife, when on the grounds of the facility or attending outdoor events. There is routine use of standard office equipment, such as computers, phones, copy and fax machines. The noise level in the work environment is usually moderate.

While performing the duties of this job, the employee is regularly required to speak and hear; sit, stand and walk (occasionally for an extended period), use hands to fingers, handle or feel, bend, and reach with hands and arms. The employee may be required to adhere to specific dress code that could include shorts/pants, shirt, shoes and jacket. The employee must be able to occasionally lift and/or move up to 25 pounds.

Key Responsibilities
- Coordinate behind the scene administrative duties for the activities department including but not limited overseeing the website and point of sale.
- Research, develop and host internal/external recreational lifestyle programs that will benefit the community membership.
- Create and maintain an environment with the activities programming which reflects professionalism, the “Trilogy Experience”, and a sense of urgency to accommodate members.
- Supervise operation of the activities department to operate within or better than budget.
- Meet initially with members and/or external customers to tour the facility, outline use capabilities and restrictions and go over the vendor and/or rental contract.
- Responsible for creating and communicating activities schedules to members and necessary department staff; also responsible for set-up/take-down of the event.
- Ensure each program/event is set-up and meets member expectations.
- Responsible for being present throughout all programmed events to assist, answer questions, and facilitate service delivery; control and review facilities at close of event.
- Use the POS system in order to track events and event preparation.
- Communicate to contracted member one month and one week prior to event for detail and follow-up issues.
- Post event/activity check list, check request deposits accordingly and send follow-up survey to members.
- Administer member website, TruDigital messaging, and flyers to promote activities, and events.
- Greet, welcome and deliver the “Trilogy Experience” to all incoming members/guests.
- Compile satisfaction surveys for events/activities and review with the Club GM/DRO.
- Complete any necessary tasks related to activities/lifestyle designated by the Club GM/DRO.
- Facilitate New Member Orientations on a monthly basis; ensure welcome binders, baskets and supplies are complete.
- Attend weekly staff meeting.
- May be required to attend seminars and classes related to activity/events planning and coordination.
- Complete daily, weekly, and monthly computer/paper generated reports as required by management.
- Assist the Club GM/DRO in maintaining the budgets for all programs, activities, and events on a monthly basis.
- Overseeing community ticket sales including internal and external communications and point of sale implementation. This role will also be responsible for analyzing ticket sales accounting process and liability auding to ensure accuracy between systems.
- Support Chartered Clubs and community events. Responsibilities include assisting with administrative tasks, meeting coordination, event setups and takedowns, ticket sales, and on-site event execution.
- Other duties and responsibilities may be assigned.
- Must be highly customer oriented and responsive with high need for closure.

- Experience in recreation management or hospitality industry preferred.
- Background in hospitality industry or travel industry preferred.
- Bachelor’s degree and/or equivalent combination of education and experience in Recreation Management or Hospitality Management preferred by not required.
- Two years experience in activity/event planning and budgeting.
- Current First Aid, CPR/AED certification, and other safety certifications, as required by the Club.
- Computer literate with knowledge of Microsoft Office and proficiency in Excel.
- Must have excellent analytical, organizational, and written and verbal communication skills, with an ability to respond to the needs and requests of members, guests, and the community association.
- Must demonstrate initiative, with an ability to think, work, solve practical problems, and make independent decisions based on sound judgment.
- Must be comfortable working in a fast-paced environment where continuous improvement is expected.
- Knowledge of the home building and real estate industries a plus, but not required
- Banquet set-up and operations experience preferred.
- Valid driver's license is required.
